Jula Hotell – Driving Efficiency and Growth with VisBook and BookVisit

"Direct bookings have increased by about 15% since we started with VisBook and BookVisit. That not only improves profitability but also strengthens our relationship with guests."

Jula Hotell is a growing hotel chain with five unique destinations: Skara Konsthotell, Skara Stadshotell, Gyllene Uttern in Gränna, Gysinge Herrgård, and Skara Stadscamping.

Each property reflects the character of its surroundings – whether it’s art and culture, city life, historic charm, natural landscapes, or family-friendly leisure – while maintaining the same four-star standard of quality, hospitality, and community.

Together, these hotels and destinations tell different stories but share one promise: personal service, high standards, and memorable experiences for every guest.

With a switch to VisBook, integrating seamlessly with their internet booking engine and channel manager BookVisit, both part of the Visit ecosystem, Jula Hotell saw notable improvements. Administration time has decreased by approximately 25%, and direct bookings via their website are up 15%.

Before moving to VisBook, Jula Hotell faced frustrations with their previous hotel management system, HotSoft. Jenny Moore, Sales Manager at Jula Hotell, explains that the system “required many separate add-ons and integrations to function as a complete system,” which made operations unnecessarily complex. Instead, they “needed a solution that could give us a complete overview, from booking to reporting, without having to manage multiple systems.”

There was also the financial aspect of using HotSoft. Jenny explains that “previously, we had to pay for several different systems – one for hotel, one for restaurant, one for conference and one for POS – which was both expensive and hard to manage.” Comparatively, with VisBook Jula Hotell “pay for one complete system where everything is included.” Jenny also notes that the revenue-based pricing is “perfect for us as a seasonal business with big variations in occupancy over the year. It’s both cost-efficient and fair.”

The move to VisBook was also smooth. Jenny describes the onboarding process as clear and supportive, with staff gaining confidence quickly thanks to the system’s logical structure, with Jenny saying that “We were able to work fully after a short time without disrupting operations.” Even when minor challenges arose, VisBook’s team was fast to respond. “It didn’t affect our operations, which shows how stable and reliable the system is even during the implementation phase,” Jenny explains.

Jula Hotell has been live with VisBook for 12 months, and they’ve seen clear results in both efficiency and sales. Jenny notes how “administration time has decreased by around 20–25%. In reception and booking alone, we save several hours every week thanks to simpler booking handling, automated processes and clear reports.” Jenny highlights how valuable it is to have the hotel, restaurant, conference, and POS integrated within the same system, in that “it saves time and reduces the risk of errors.”

The combination of VisBook and BookVisit, both part of the Visit platform, has also strengthened sales. Jenny notes that “direct bookings have increased by about 15% since we started with VisBook and BookVisit. That not only improves profitability but also strengthens our relationship with guests.”

She adds that package sales have grown significantly as well, mentioning that “BookVisit and its integration with VisBook make it much easier to create, sell and market packages, especially on our own website. It allows us to work strategically and seasonally with our products.” According to Jenny, total turnover has grown by roughly 10%, largely thanks to the higher revenue per guest made possible through packaging.

With all departments working in the same system, Jula Hotell has also eliminated silos and reduced mistakes. Jenny explains: “It has made an enormous difference, especially for conferences, events and weddings, where administration time has been cut dramatically. When all information is gathered in one system, the risk of miscommunication between departments is reduced.”

She also points to billing as a major improvement: “All charges from the restaurant, bar and other departments are made directly in the same system, so everything is collected correctly on the guest’s bill. That minimizes the risk of mistakes at checkout and contributes to a smoother and more professional experience for the guest – something that has clearly increased guest satisfaction.”

On top of everything else, the staff have embraced VisBook in their daily work. Jenny notes that “they especially appreciate the booking calendar and how easy it is to get a complete overview of occupancy. They also like how smooth it is to handle add-ons, packages and pricing, and that the information is automatically updated between departments. It minimizes the risk of misunderstandings and double work.”

Jenny’s advice to hotels still using HotSoft and considering the change is simple: “Do it. VisBook is a modern, complete and user-friendly system that really saves time and simplifies everyday work. Most importantly, you get a partner who is engaged, attentive and develops the system together with its customers.”

She believes the benefits are clear for properties with multiple departments. “If a hotel works a lot with conferences or has several departments such as restaurant, bar or spa, it is especially valuable to have one complete system where all information is collected in one place. That way all departments work in the same system, with the same updated information, which simplifies communication and ensures smooth operations throughout the guest journey. It’s an investment that quickly pays off—in efficiency, quality and guest satisfaction.”

For Jula Hotell, the switch was more than just upgrading systems—it was a key step in their digital development. “VisBook and BookVisit help us deliver a more professional and coherent guest experience, while freeing up time for what matters most: meeting the guest.”

She also points to packaging and the improvements to their website as a crucial advantage. “For us as destination hotels, packaging is absolutely crucial, and thanks to the integration between VisBook and BookVisit we can easily create, market and sell attractive packages directly online. It strengthens both our digital presence and our competitiveness in the market.”
